Position Overview

The Program Director is the organization’s operational leader, overseeing all day-to-day logistics that are essential to the pantry’s effectiveness, including the acquisition and distribution of food and clothing to pantry clients.  The Program Director develops and implements plans that sustain, diversify and/or expand the operation of the pantry in accordance with client needs, the organization’s mission, and strategic objectives.  The position requires management of volunteers. 

Primary Responsibilities and Duties:

Operations

  • Oversee all aspects of operations, consistent with our mission, values, and expectations.

  • Communicate organization mission and values to clients, volunteers, partners, and donors.

  • Develop strategic plans and represent the organization to the public. 

  • Identify grant funding opportunities.  Write, submit, and manage grant proposals.

  • Furnish prospective funders with supporting documents.

  • Assist with fundraising activities including logistical coordination, volunteer recruitment, and promotion.

  • Attend monthly Board of Director’s meetings.  Support our organization’s endeavors and also community activities, including the Chamber of Commerce community coffees, church events, guest speaker engagements, etc. 

  • Prepare all financial transactions per board policy. 

  • Compile information, record keeping, reporting, and database management.

  • Collaborate with organization’s Board of Directors and Program Director to report monthly results, develop annual budgets and reports, share information on social media, and design best practices for the nonprofit.  

  • Request any maintenance needs for facilities and equipment.

 

Food and Clothing

  • Supervise food and clothing distributions, donations, and deliveries.  Assist clients with resources, paperwork and shopping for food and clothing. 

  • Order food and maintain appropriate inventory.  Purchase food from local markets as needed.  Submit food orders within a certain budget amount.  

  • Retrieve and oversee stocking and recording of in-kind donated foods from suppliers, stores, and other donor sites to assure proper quality control.    

  • Ensure an efficient flow of distribution of food and clothing and maintain appearance, and cleanliness of the Pantry. 

  • Responsible for all reports, training, required paperwork, and inspections required by Oklahoma Regional Food Bank and USDA.  

  • Create, implement, and oversee pantry food and safety policies and procedures for proper food handling, personal safety, sanitation, and cleanliness that are compliant with state and federal regulations.

  • Ensure clothing is cleaned, sorted, and stored in a well-organized manner.

  • Recruit, train, support, schedule, manage, discipline, and supervise all volunteers for the food and clothing pantry. 

  • Ability to stand long periods of time, lift 40 lbs., and move heavy food boxes daily.
